Policy and Protocol for Implemention of Integration in a Agency member of the CAISI Integration Network

After agencies have been reviewed and approved by the integration committee, agencies go through a set of steps in order to implement integration. The following is a check list and list of steps that must be followed at CAISI partner agencies that are participating in integration:

  • agencies must have an information practices public notice poster put up in places where it can easily be seen by clients. CAISI provides agencies with model posters for HIC and non-HIC agencies. There must be email confirmation that such posters have been put up or documentation by CAISI team member that they have been posted.
  • agencies must have a privacy policy in place or must have adopted an appropriate CAISI model privacy policy as an interim measure.  There must be email confirmation of the adoption or existence of such a policy.
  • agencies must post the  CAISI Public Statement in locations visible to clients who will have access to CAISI integration.
  • agencies must receive training in the use of CAISI integration
  • agencies must have implemented a signature pad or a means of recording a client's consent decision regarding integration.
  • agencies must have copies of the client CAISI information brochure. These brochures will be included in an agency's list of electronic forms.
  • agencies must be running on the latest version of CAISI software 
  • agencies must sign the current version of the CAISI integration DSA.
  • communication to ombudsperson and integrated agencies of the newly integrated agency
  • Ombudsperson will pay a visit to agencies that have newly joined integration as a courtesy to those agencies

Agencies will not have integration turned on until all of these steps have been completed. Agencies that have integration turned on but do not meet the above criteria will be asked to implement the step. Failure to implement the step will result in withdrawal from integration.

 

The following materials will be on electronic file for each agency in the CAISI electronic database:

  • copy of signed DSA
  • copy of filled out and signed Agency Privacy Check list
  • copy of email confirming posting of public notice or note from CAISI team member that poster has been posted
  • check boxes confirming the following
      • latest version of CAISI running with electronic version client information brochure is on instance
      • agency public notice of privacy policy has been posted
      • public CAISI notice has been posted
      • DSA has been signed
  • The following notes will be recorded:
      • training completed on integration
      • provision of signature pad
